Scotch College has adopted a proactive device lifecycle strategy designed to maximise the value of its Apple technology investment while ensuring students and staff always have access to current-generation devices.
Rather than viewing technology refreshes as a periodic capital expense, the College recognised an opportunity to take a more strategic approach to device management. Apple devices retain significant residual value earlier in their lifecycle, creating the potential to achieve stronger financial returns while maintaining a high-quality experience for end users.
The College was looking for a structured approach that would help maintain device condition across its fleet, preserve resale value, and simplify the refresh process. By refreshing devices every 24 months while they remain under warranty, Scotch College sought to reduce total cost of ownership and create a more sustainable model for future technology investments.
Today, the College manages approximately 1,225 laptops, 1,200 iPads and iPhones, and 210 Apple TVs across the school environment.
The Approach
Working closely with Scotch College, Winthrop Australia developed a lifecycle management program built around a 24-month refresh cycle. Devices are traded in while still covered by warranty, helping maximise residual value and reducing the risks associated with ageing hardware.
Prior to devices entering the buy-back process, Winthrop conducts preventative health checks across the fleet to identify and rectify eligible warranty issues. This helps ensure devices are returned in the best possible condition and maintains stronger resale outcomes.
The College also leverages a lifecycle management partner to support secure data wiping, certification, and the buy-back process. Together, these services create a streamlined and repeatable approach to device lifecycle management while reducing administrative effort for the internal technology team.
Buy-back returns generated at each refresh cycle contribute towards future device purchases, creating a rolling funding model rather than requiring a large capital replacement every three years.
